Receipts

Receipts (in the sidebar under Invoices) lists every receipt your business has given a customer.

Where receipts come from

You do not make most receipts by hand. They are made for you:

  • A sale at the till — the receipt the customer is handed, with its own number (#0042), its items, how it was paid, and, if your business files with URA, the fiscal number (FDN) and verification code.
  • An invoice payment — every payment against an invoice gets a receipt numbered RCT-000001 onward, showing the invoice, the amount and the balance left on it after that payment.

Each receipt keeps a copy of what it said when it was issued. Renaming a product or changing its price later does not change an old receipt.

Sales made before October 2026 have receipts too, rebuilt from what was kept of each sale. Where only the item names and quantities survived, the receipt shows those with the exact total, and says so.

Finding a receipt

  • Views: All, Till, Invoices, Other sales and Voided. Each shows how many receipts it holds.
  • Search: the receipt number, the customer's name or phone, or the amount (45000).
  • When: today, the last 7 or 30 days, this month, all time, or dates you choose.

The total of what is shown is under the heading, per currency.

Opening a receipt

Click one to see it exactly as the customer gets it — the same document its PDF and its link are made from. At the top, one tap each:

  • PDF — downloads it, ready to attach or keep;
  • Print — on an 80 mm till printer, or any printer;
  • Copy link — a link to this one receipt (see below);
  • WhatsApp — opens WhatsApp with the link written for you, to the customer's number if the receipt has one;
  • Email — sends it with the PDF attached and the link in the message;
  • Invoice — for an invoice payment, opens the invoice.

Look switches the template it is shown in. Keep this look for this receipt makes that template its own, for its PDF and its link too.

A receipt whose sale was returned or reversed stays, marked voided, with the reason. A receipt filed with URA is marked URA: its amounts cannot be changed in SBB — a mistake is corrected with a credit note filed with URA. Its look can still be changed, because that does not change what it says.

Sharing a receipt

Copy link, WhatsApp and Email all use a link like smartbusinessbook.io/r/… that opens that one receipt, read-only, with a Download PDF button. Nobody can find it unless you send it, and search engines never list it. Withdraw link, under the receipt, stops it working at once; sharing again makes a new one.

How receipts look — templates

Settings → Receipts holds your templates, with a live preview on your latest real receipt. Three are ready to use:

  • Till slip — 80 mm roll, the default for till receipts;
  • Classic A4 — a full page with your accent colour, the default for invoice and other receipts;
  • Minimal — A5, quiet.

For each: the paper (80 mm or 58 mm roll, A4, A5), your logo or none, an accent colour (pages only — till rolls print black), lines under your name (address, TIN, phone), a message at the bottom (thank you, returns policy), and switches for the customer's name, who served them, the tax line, a QR code to the online copy, and "Smart Business Book" at the foot. New template copies the one you are on. Changing a template changes how receipts look, never what they say, so old receipts show in it too.

Making a receipt

Sales at the till and invoice payments get receipts by themselves. New receipt (at the top of the page) is for everything else, in two ways:

  • A new payment — a client pays you with nothing recorded before: choose the account it went into, the date, and what it was for (lines with quantity and price). The money goes into your books and the receipt is issued, numbered RCT-…. Add the customer, a payment reference (a MoMo transaction ID, say) and a note if you like.
  • Money already recorded — money already in your books with no receipt (a sale typed into Transactions, a mobile-money payment). Search for it, pick it, and the receipt is issued for it. Nothing new is recorded. If you list what it was for, the lines must add up to the money received.

Changing a receipt

Edit details — the customer's name, phone, email and the note. This does not touch your books, and anybody who can see receipts can do it.

Change the money — the items, quantities, prices, date or account. Only the owner or the accountant. Your books are a record, so nothing is overwritten:

  1. Change what needs changing, say why, and press See what changes.
  2. SBB lists exactly what will happen — for example "The payment received of UGX 10,000 on 3 Oct is reversed… It is recorded again as UGX 8,000… Cash goes down by UGX 2,000", and for a till sale that the stock goes back on the shelf.
  3. Tick I understand and Make the change.

The original stays, marked replaced, and a new receipt is issued in its place; each links to the other. A till sale is corrected by the owner (it goes back through the till); one split across payments or sold on account is returned at the till and rung up again. An invoice payment is corrected on its invoice: void its receipt, then record the right payment.

Void reverses the money the receipt stands for — a till sale is returned and restocked, a recorded payment reversed, an invoice payment reversed so the invoice owes it again — after showing you what it will do. The receipt is kept, marked voided, with your reason.

Each receipt keeps What happened to it: every change, who made it, when and why.

What cannot be changed

  • Receipts filed with URA (EFRIS). Their money and customer are as filed. A mistake is corrected with a credit note filed with URA. The note and the look can still be changed.
  • Anything in a locked period. Reopen the period first.
  • A receipt already voided or replaced — change its replacement instead.
